- WHAT IF I CAN’T FIND A SPECIALTY I NEED?
Many of our agencies offer more specialties than those listed in our contract. If you need a specialty not listed, call your Qualivis account specialist. Please let us know if you use services outside of our contract so that we can review and possibly add specialties in the future.
- WHERE CAN I FIND A LIST OF APPROVED AGENCIES?
A current list of approved agencies can be found here.
- WHAT HAPPENS IF OUR FACILITY HAS REQUIREMENTS IN ADDITION TO THE STAFFING AGREEMENT?
If your organization has special form requirements (HR documents, allergy forms, etc), you may want to provide those to agencies upfront to ensure completion. If you utilize our software, we can show you how to upload the documents to guarantee they are always attached to your orders.
If your organization has special health screening requirements beyond our contract, the facility may incur additional costs. Please remember that any requirements of your organization beyond our contract should be clearly stated on all orders.
- WHAT IF I NEED SOFTWARE TRAINING?
Additional software training is always available if needed. Please contact your Qualivis account specialist for details.
- DOES THE HOSPITAL NEED TO PROVIDE FEEDBACK FOR SUBMITTED CANDIDATES?
The best candidates are often submitted first. We ask that the hospitals try to provide some feedback to the agency within 24-48 hours. This would include simply declining or rejecting the candidate in the software. Feedback is very important to help agencies understand what candidates your hospital is looking for so that they can ensure that their next submission is a good fit for your organization.
- WHAT IF WE HAVE A CANDIDATE WITH DISCIPLINE ISSUES?
First, notify the agency which employs the agency staff. (Agency staff are employees of the agency, not the hospital.) It is important to also consider internal hospital procedures and protocols for reporting problems. Please also reach out to Qualivis so that we may conduct a thorough follow-up with the agency.
- WHAT HAPPENS IF A CANDIDATE SWITCHES AGENCIES DURING AN ASSIGNMENT OR EXTENSION?
We recommend the company that first placed the candidate in your facility receive the benefit of the extended assignment.
- WHAT HAPPENS IF A CANDIDATE IS SUBMITTED BY TWO AGENCIES?
We suggest to always ask a candidate what company will be representing them during an interview. Helping the candidate understand that most hospitals will not negotiate between companies or allow him/her to do so will avoid complications later in the process.
- HOW DO I PREVENT AGENCIES FROM “COLD CALLING” INTO OUR FACILITY?
One way to avoid unwanted agency questions is to ensure all of the information they need is already provided within job orders. If you experience too many calls or emails, contact Qualivis as soon as possible.
- HOW DO WE HANDLE CURRENT ASSIGNMENTS IN OUR FACILITIES DURING THE NEW AGENCY CONTRACT PERIOD?
Agencies Awarded Contracts: These candidates will complete their assignments under the conditions of the contract that was in effect on the date they were confirmed. When the current contract expires, any new candidate or renewing candidate will then work under the conditions of the new agreement.
Agencies not Awarded Contracts: Please inform the candidates in your institutions that their agency was not awarded a program contract. Those individuals do complete their current assignment under the contract that was in effect on the date they were confirmed. When their assignments are completed, the obligation of your facility is fulfilled with regard to the pre-existing contract.
- DOES QUALIVIS HAVE ANY STANDARD FORMS?
We offer several standardized forms for your use. The forms will help ensure unnecessary documents are not accidentally signed. Agencies should never ask you to resign an additional contract. Forms can be accessed here.
